The style of a quote can be defined by construction of a template and the use of templates delivers two outstanding benefits: Firstly, the effort required to build a quote is reduced, because all the layout and some of the content is already defined in the template, such as covering letters, totals and item regions. As an example, although the minimum effort required to build a quote would be to name the quote and customer, adding items and quantities, templates allow quite complicated quotes to be produced with similar minimal effort. Secondly, a significant benefit to be derived from the use of templates is that of managerial control of quote output and uniformity. When a template is produced it can be determined which parts of the quote based on that template may be modified by the user, and which may not. For instance, the quote builder may be able to enter items and quantities, but not alter terms and conditions, totals, discounts or covering letters. Templates facilitate increased control and faster throughput in quote construction while retaining the benefit of MQuote's simplicity. |

As we have seen, a template enables a quote style to be defined. Once defined, the template can be subsequently used as the basis for outputting a quote. There may be a complex tendering environment where several different styles of quotations are produced, perhaps with multiple sections, each with differing layouts. For example, your organisation may make use of two distinct styles. All that needs to be done is to design two templates, each one detailing the style of the quote required. When a new quote is created the relevant template is selected and details entered as usual. All entered details will be automatically displayed in the style that was selected. Additionally, templates can be defined that show just summary information, or a list of items without price information, etc. for internal use. Several templates can be automatically associated with a quote, and the different 'views' of the quote printed at once. All this gives you great control over the type and style of quotes that are produced. |
